Several factors determine the total time and cost commitment for AI and automation solutions. These include project complexity and the tools involved. Data integrity is a critical factor; cleaning and organizing data is an essential step for a successful build. Additionally, some automations may have annual fees for ongoing maintenance and nominal costs for third-party subscriptions. Below are examples of tools we build and their potential cost. AI Governance and Use Policy
AI Governance and Use Policy
Description
An AI use policy gives your organization a clear, documented framework for how staff can and should use artificial intelligence tools in their work, protecting your clients, your data, and your organization’s integrity.
As AI becomes part of everyday nonprofit operations, boards and funders are increasingly asking whether organizations have governance in place. This service helps you get ahead of that question with a policy that reflects your organization’s specific programs, values, and risk considerations.
We work through a structured policy development process with your executive director or designated staff member, gathering the information needed to shape a policy that fits your organization rather than a generic template. From there, we develop and deliver a complete, customized AI use policy document ready for board adoption and staff implementation. One round of revisions is included.
The policy covers appropriate and prohibited uses of AI tools, allowable tools that can be used at your organization, data privacy and client confidentiality protections, staff guidelines and accountability, and governance language suitable for board-level review.
Additionally, we provide you with a one-page document that provides your board with information about why this is an important and necessary policy, addresses risk management concerns, and answers the most commonly asked questions.
INVESTMENT
$900 — Fixed Fee
Priced as a flat fee regardless of organization size. Includes one working session with your executive director or designated staff, a complete customized policy document, one round of revisions, and the guiding document for your board. Delivered within two weeks of the working session.
Section Two
Strategy, Design, & AI Readiness
Strategic AI Readiness Assessment
Description
The Strategic AI Assessment is the starting point for organizations that want a clear picture of where AI and automation can make the greatest difference for their team. We begin with a structured interview with your executive director and leadership team to understand your current workflows, the tools and software you already use, and the operational challenges your staff face day to day. For larger or more complex organizations, we may also conduct brief interviews with program staff who have the most direct knowledge of frontline workflows.
From that foundation, we develop a written report that maps your current operational picture, identifies specific opportunities where AI and automation can reduce administrative burden, improve efficiency, and give your staff more time to focus on mission-critical work. Where possible, we provide estimated time savings and other measurable value so you can make an informed decision about next steps and make a clear case to your board if needed.
Finally, we will meet with designated staff and board members to present the report and answer any questions you may have.
The assessment is a standalone deliverable. It does not obligate you to any further engagement, though many organizations use it as the foundation for a project build or customized training.
